Key Responsibilities: Event Planning & Coordination

• Plan, coordinate, and execute events such as conferences, corporate meetings, trade shows, product launches, and social events.

• Develop event concepts, themes, timelines, run-of-show plans, and budgets.

• Conduct venue research, negotiate contracts, and manage vendor relationships (catering, d cor, audio-visual, transportation, etc.).

• Create event proposals, presentations, and detailed project plans.

• Coordinate logistics including venue setup, equipment, staffing, travel arrangements, and accommodations.

• Oversee event registration, attendee management, seating arrangements, and signage.

• Ensure all permits, insurance, and compliance requirements are met.

• Lead on-site event operations, ensuring smooth setup, event flow, and breakdown.

• Supervise support staff, volunteers, and vendors during the event.

• Troubleshoot last-minute issues and maintain a professional, calm presence.

• Create, manage, and track event budgets, invoices, and expenses.

• Produce post-event reports including ROI analysis, attendee feedback, and improvement recommendations.

• Collaborate with marketing to develop event promotions, invitations, and communication materials.

• Manage event-related communication to attendees, stakeholders, and partners.

• Coordinate social media engagement and on-site branding.
