Job Description

Vibiana is seeking an Event Manager with at least 2 years in event operation planning and management. Candidate will work directly with the Event Director and Sales Manager in strategic planning, oversight, and execution of events. Events include weddings, corporate, non – profit galas, social events, and high – profile social engagements. The candidate must have strong project management skills, people management skills, attention to detail, and a desire to grow with the company. Vibiana is a luxury chef-driven venue, with high service expectations. Strong culinary background or knowledge is preferred.

Requirements

• Manage full production of the venue, food, and beverage
• Responsible for operational planning for all Vibiana events
• Work closely with the Sales Team on best suited event executions
• Create diagrams and floorplans for each event
• Create and communicate a production schedule and timeline to the client/planner
• Procure event permits and COIs
• Review “Vendor Rules” document with clients and all vendors
• Coordinate internal and external rentals, including but not limited to linens, furniture, china, glassware, tenting, power, etc.
• Coordinate and communicate with clients and in-house A/V team for all lighting/audio visual needs
• Oversee and schedule all load-in and load-out schedules with internal team, planners, and vendors
• Manage event CRM
• Communicate all event deliveries and logistics
• Prepare and review service plans with Director of Event and Event Sales Manager
• Communicate service plans and event details to Managers and Chefs
• Schedule and run Tabletop Meetings with clients/planners
• Conduct walkthroughs with planners and vendors
• Conduct Production meetings with planners and vendors
• Complete, maintain & distribute event pull sheets
• Possess the ability to carry on any role in service
• Schedule staff and assign tasks for events within budget parameters
• Foster a healthy relationship between the events department & kitchen
• Supervise Maintenance Team as it pertains to pull lists & room layouts
• Create all event day documentation needed for staff, including, AV BEOs, Server BEOs, Runner BEOs, Expo Sheets, Security & Site Manager Packets, enlarged floorplans and menus
