About The Role

We are seeking a proactive, detail-oriented, and experienced Executive Assistant to support the CEO and leadership team at Thrust Aviation. This role is ideal for someone who has worked at a high level before, knows how to prioritize and anticipate needs, and is comfortable taking ownership of the day-to-day tasks that keep an organization moving forward.

As the Executive Assistant, you will play a critical role in streamlining operations, managing schedules, supporting key projects, and ensuring the leadership team can focus on high-level strategy and growth. Your work will directly contribute to the efficiency and success of Thrust Aviation across charter operations, sales, and team development.

Key Responsibilities

  • Executive Support – Manage calendars, coordinate meetings, book travel, and assist with daily time management for the CEO and leadership team.
  • Communication & Coordination – Serve as a central point of contact for internal team members and external stakeholders, ensuring smooth communication flow and follow-ups.
  • Project Support – Assist in coordinating key company initiatives, from recruitment to marketing to operational improvements.
  • Inbox & Document Management – Organize and respond to key emails, track to-dos, and manage digital filing systems for efficiency and accessibility.
  • Task & Workflow Optimization – Implement tools and systems to streamline processes, improve accountability, and reduce friction across recurring tasks.
  • Event & Meeting Logistics – Prepare meeting agendas, take notes, follow up on action items, and organize internal or client-facing events when needed.
  • Personal Assistance – Occasionally assist with personal or travel logistics that support the CEO’s availability and productivity.

Requirements

  • Minimum 2-3 years of experience as an Executive Assistant supporting C-level executives or founders.
  • Exceptional organizational and time management skills; able to manage multiple priorities with precision.
  • Excellent written and verbal communication skills in English.
  • Tech-savvy with strong experience using tools like Google Workspace, Slack, project management tools (e.g., Notion, Todoist, ClickUp), and calendar systems.
  • Highly resourceful with a can-do attitude and the ability to operate independently with limited oversight.
  • Discreet and trustworthy with confidential information.
  • Proven ability to anticipate needs, stay two steps ahead, and drive value through thoughtful execution.

Preferred Qualifications

  • Experience in the private aviation, luxury services, or high-ticket sales industries.
  • Strong understanding of sales automation tools, AI-driven analytics, and lead generation
