Job Description

We are seeking a detail-oriented and experienced Part-Time Bookkeeper / Administrative Assistant to support our client's accounting and administrative functions. This role requires strong knowledge of QuickBooks, excellent organizational skills, and the ability to manage multiple financial and administrative tasks with accuracy and efficiency. The ideal candidate is proactive, dependable, and comfortable working in a dynamic environment.

Key Responsibilities

Accounting & Bookkeeping

  • Manage Accounts Payable (AP) and Accounts Receivable (AR) .
  • Process payroll for approxiamtely 6 employees (mostly direct deposit), including 10–15 jobs per year that require certified payroll paperwork .
  • Prepare commission statements for one salesperson.
  • Calculate and process payments to subcontractors and vendors .
  • Review and reconcile credit card statements , breaking down expenses and coding them accurately in QuickBooks.
  • Prepare Profit & Loss statements for key projects.
  • Maintain and update insurance and bonding records (10–15 bid bonds and 5–10 performance bonds per year).
  • Record sales tax and handle quarterly filings .
  • Ensure compliance with Davis Bacon Wages for 3–5 projects per year.
  • Prepare and manage Statement of Values / AIA documents (approximately 2 per year).

Administrative Support

  • Perform general administrative tasks such as responding to emails and managing calendars.
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain organized files, records, and documents.
  • Assist with budgeting and financial management tasks.
  • Provide support to other team members as needed.

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Proven experience as a bookkeeper, administrative assistant, or similar role .
  • Proficiency in QuickBooks (non-negotiable) .
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) .
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Attention to detail with strong problem-solving skills.
  • Knowledge of debits/credits, bank reconciliation, double-entry bookkeeping, and financial reporting preferred.

Schedule

  • Part-time, flexible hours between 8:00 a.m. and 5:00 p.m.
  • 20-30 hours per week average
