Job Overview:
We are seeking a business-minded Medical Practice Manager who excels in data driven decision-making, operational efficiency, and leadership. The ideal candidate will have a strong background in medical administration in particular in a mostly capitated medical based practice, EMR systems, financial performance analysis, and goal-driven practice management.
Qualifications:
- Required: 5-10+ years in medical administration/management, preferably in primary care.
- Strong understanding of medical practice metrics and performance reporting.
- Experience with EMR system required.
- Ability to develop and implement data-driven business strategies.
- Excellent leadership, communication, and team-building skills.
- Strong knowledge of medical billing, revenue cycle management, and insurance reimbursement processes.
- Ability to multitask in a fast-paced, high-volume medical setting.
Key Responsibilities:
Operations & Management:
- Oversee daily operations of medical office ensuring efficiency and high-quality patient care.
- Work collaboratively with the office managers to achieve and develop organization goals.
- Track operational efficiency, patient flow, provider productivity, and financial performance.
- Collaborate with office managers to optimize EMR workflows to improve provider efficiency and patient engagement.
- Lead revamp efforts, ensuring seamless transitions in processes, policies, and patient experience.
Financial & Business Performance:
- Develop data-driven reports to monitor revenue, expenses, and profitability.
- Set performance targets for providers and staff to drive productivity.
- Identify opportunities for cost-saving measures, revenue cycle improvements, and efficiency gains.
- Monitor insurance reimbursements, patient billing, and collections to ensure maximized revenue and minimized losses.
Long-Term Clinic Growth & Expansion:
- Develop and execute a long-term growth strategy for the practice using data-driven decision-making and measurable goals.
- Set and track growth metrics such as:
- New patient acquisition and retention rates.
- Expansion of service offerings based on patient demand.
- Increase in provider capacity and efficiency.
- Financial growth targets, including revenue per visit and payer mix optimization.
- Identify opportunities for practice expansion, such as additional providers, satellite locations, or new services.
- Report market trends, competitor benchmarks, and community healthcare needs to position the clinic for future success.
- Implement patient engagement and satisfaction strategies to improve retention and word-of-mouth referrals.
Leadership & Team Management:
- Supervise and train administrative and support staff, fostering a goal-oriented and high-performance culture.
- Set clear performance expectations and incentive programs based on key business and operational metrics.
- Work with providers and staff to ensure high patient satisfaction, efficient scheduling, and compliance with policies.
- Manage hiring, onboarding, and training processes for new staff.
Performance Metrics & Reporting:
- Track, analyze, and report on practice performance KPIs, including:
- Provider productivity (patients per day, RVUs, time per visit).
- Patient retention & satisfaction.
- Billing & collections performance.
- Staff efficiency and scheduling optimization.
- Present data-driven insights to leadership and recommend strategic improvements.
