What You’ll Do:

  • Front Desk Lead : Welcome guests with professionalism and ensure a strong first impression, along with helping them with their needs. Oversee all incoming mail and checks with precision and accountability.
  • Call Coordinator : Manage incoming calls-answer, screen, transfer, and relay messages with accuracy while exercising proper phone etiquette.
  • Records Manager : Organize and maintain filing systems for key documents like invoices, statements, purchase orders, and customer files.
  • Data & Document Assistant : Transcribe notes, create daily call-out sheets in Excel, and support purchase order entry (training provided for pricing look-ups).
  • Scheduling Assistant : Coordinate meetings, help with the dispatch of technicians by using our digital dispatcher, and align company calendars seamlessly.
  • Project Assistant : Contribute to team initiatives-whether improving processes or supporting internal events.
  • Assistant to Executive : Help the owner with organization or tasks, and special deligated duties.


Who You Are:

  • You have 2+ years of administrative support or office-management experience.
  • Advanced skills in Microsoft Word, Outlook & Excel- you know your way around templates, third-party vendor software (we will train), and email.
  • A natural communicator with an unbeatable phone presence and a “how can I help?” attitude.
  • Exceptionally organized, detail-oriented, and comfortable juggling competing priorities.
  • You have an exceptional ability to stay organized across shifting priorities and tight timelines-keeping everything running smoothly behind the scenes.
  • High-energy, friendly, and poised under pressure-you keep the office vibe positive. Ability to wear many hats and offer help where needed.
  • Bonus: bilingual.
